When a ready-made app is the right call

A ready-made app is usually the better choice when:

- A popular app already does most of what you need
- You need to start this week
- You do not want to own or maintain anything

- Have we tried the popular apps? If yes, write down what was missing.
- Who will own it? Someone needs to decide what changes and answer staff questions.
The hidden costs on both sides
Ready-made apps look cheap at first. The monthly fees grow as you add staff, and you may need extra apps to fill the gaps.
You also have to work the way the app works. If it changes or shuts down, you have to move your data somewhere else.
Custom software costs more to start. It also needs care over time, like fixes and small changes as your business grows.
The upside is that it fits your work and you own it. Ask any builder how updates, hosting and support work after launch.
A middle path
You do not always have to choose one or the other. Many businesses keep a ready-made app for the common parts and add a small custom tool for the rest.
For example, you might keep your accounting app and add a simple job tracker that sends data to it. This keeps costs down and fixes the real pain.

The safest way to try custom software is to start with one small tool. Pick the job that wastes the most time each week.

Red flags when you hire a builder
Some warning signs are easy to spot. Be careful if a builder:
- Will not explain things in plain words
- Gives a price before they understand your process
- Will not tell you who owns the code and the data
- Has no plan for updates after launch
A good builder asks a lot of questions first. They should be happy to tell you when a ready-made app is the better choice.
